# How to Hire a Tax Firm for a Multistate Business

Evaluate coverage and coordination when your company’s activity crosses state boundaries.

## Describe activity, not only addresses

A multistate discussion should include employees, customers, property, inventory, contractors, and how your business earns revenue. Provide a timeline of expansions and remote hiring. An office list alone may not describe all the facts a specialist needs to review.

Ask the firm what information it uses to identify state-level questions. You are hiring a process for reviewing your activity, not simply a provider willing to prepare whatever state returns you request. Avoid making your own conclusions about obligations before the review.

## Identify the coverage model

Ask which team handles state and local tax work and which jurisdictions require outside assistance. A national presence can be useful but does not replace a clear assignment of responsibility. Confirm whether the engagement includes income tax only or additional areas you expect to review.

Request a deliverable explaining the review’s scope, assumptions, and unresolved questions. If the firm identifies historical exposure or cleanup work, ask how that next phase would be scoped. Do not assume a routine annual preparation fee includes a retrospective multistate analysis.

- Separate income, payroll, sales, and other workstreams.
- Ask who monitors business changes during the year.
- Confirm coordination with your payroll and accounting providers.

## Plan the information process

Your team may need to produce sales data, employee locations, or property information in formats it does not currently track. Ask for a sample data request early. The ability to obtain information can determine whether a proposed review is practical within your timeline.

Assign a finance or operations lead to gather consistent data. Do not let different departments answer the same jurisdiction question with conflicting lists. Maintain a dated record of the facts supplied to the adviser.

## Create a change trigger

Agree on events that require contacting the adviser, such as hiring in a new location or placing inventory elsewhere. A recurring engagement should explain how new facts enter the review rather than relying only on year-end questionnaires.

Choose the firm that can explain the boundaries of its analysis and manage the information needed. Broad marketing language is less valuable than a specific plan for your actual footprint.

- Next step: prepare a multistate activity inventory and ask for a separate coverage matrix.
