# Tax Firm Pricing: Questions That Make Quotes Useful

Understand fee boundaries and compare the committed cost of different service models.

## Ask what the fee buys

A tax firm quote becomes useful when it identifies the work covered. Request the entity count, filing jurisdictions, tax years, meetings, deliverables, and implementation support. Without those details, a low or high number says little about value.

Be cautious about comparing a tax return fee with a comprehensive advisory retainer. Even two annual retainers may differ substantially. Ask each provider to show the work schedule and expected outputs so you can see the practical differences.

## Identify the pricing model

Providers may use fixed project fees, hourly fees, monthly retainers, or combinations. Ask how the firm handles uncertainty under its model. For a fixed project, which assumptions must remain true? For hourly work, how are estimates and overruns communicated? For a retainer, which tasks require separate approval?

Do not assume monthly payments mean a month-to-month commitment. Read the agreement for minimum terms, renewal, cancellation, and charges after termination. A payment schedule and an engagement term are different concepts.

- Request examples of work outside scope.
- Ask whether meetings consume a time allowance.
- Confirm whether future return preparation is included.

## Budget for the surrounding work

Some projects require bookkeeping cleanup, legal documentation, specialty studies, valuations, or payroll changes. Ask the adviser to identify likely related work before you decide. The adviser may not be able to quote another provider’s fee, but should be able to explain the dependency.

Also consider your internal time. A project that requires your controller to reconstruct records has a different operational cost from one where organized data are ready. Improve the records first when appropriate rather than asking firms to quote around avoidable uncertainty.

## Evaluate payment against milestones

Ask what happens if information is incomplete, the project pauses, or the facts do not support the initial idea. Understand which fees pay for analysis and which depend on delivery of later services. Clarify refund or cancellation terms in writing.

A good comparison does not need a fabricated industry average. It needs comparable scope, transparent boundaries, and a fee your business can evaluate against the work and responsibilities involved.

- Next step: request a total committed cost and a list of foreseeable additional costs.
